4. Basis for register maintenance

The Finnish Olympic Committee provides a variety of events, services, content, and customer support for members of the sports community, including participants, athletes, parents, coaches, sports clubs, sports federations, and other organizations.

  • Marketing communications for services and events
  • Implementation and organization of services and events
  • Maintenance and management of customer relationships for services and events
  • Handling and resolution of customer service inquiries
  • Prevention of service misuse
  • Improvement and development of customer experience for services and events
  • Sharing of informative content relevant to the sports community, such as guides
  • Development of operations and services, for example, through surveys
  • Distribution of prizes to those who have participated in service or event satisfaction surveys or won a lottery

5. Purpose of processing personal data

Personal data is used for the following purposes:

  • Marketing communication about services and events via email and phone
  • Sending newsletters based on events, customer relationships, contracts, and memberships
  • Communication and management of various customer service inquiries
  • Handling service orders, such as processing a Suomisport service order or booking a service

6. Collected data

The register contains the following information:

  • The registered person’s name, email address, phone number, organization (sports club, sports federation, or other organization) they may represent, and their role within the organization.
  • For event marketing and organization, the register may also include relevant details necessary for event arrangements, such as date of birth, food allergies, and accommodation details.

7. Methods of collecting register data

Information about the registered person is primarily obtained directly from them via the Finnish Olympic Committee’s websites, email, phone, online forms, or feedback cards. Personal data is also collected through customer service and services that support service implementation (e.g., Freshdesk and Microsoft Bookings).

Data may also be provided or collected when using the data controller’s existing services (e.g., Suomisport) or other services used for event organization. For personal data collected within the Suomisport service, we also adhere to the general Suomisport data protection policy.

8. Processing and use of personal data

Data retention period

Data is stored only as long as necessary to fulfill the purposes defined in section 5 and in compliance with applicable laws.

Data will be deleted from the register after two years if the registered person no longer interacts with customer service, marketing content, or events. The individual may request the deletion of their data at any time.

Data processors

Only designated employees of the Finnish Olympic Committee process personal data for the purposes described in this policy.

Data transfer

Data is not shared with third parties and remains solely with the data controller. Data is not transferred outside the EU or the European Economic Area (EEA) or to international organizations.

In cases where an event organized by the data controller includes an external organizing partner, the data controller may share participant information with the partner—such as allergy or accommodation details with a restaurant or accommodation provider.

For marketing and informational content produced in collaboration with a third party, the data controller will always ask separately for consent before sharing personal data with a third party, such as a partner of the Finnish Olympic Committee.

9. Principles of register protection and rights of the registered person

The register is not stored manually. The data is stored electronically and properly secured, and only designated employees of the Finnish Olympic Committee have access to it. These designated individuals are committed to following best practices in information security and data protection.

It is always possible to request removal from the register and update personal data by notifying the data controller. One can easily unsubscribe from newsletters by clicking the “poistu postituslistalta” or “unsubscribe” link.

10. Changes to the privacy policy

The data controller reserves the right to amend this privacy policy and notify the registered individuals of any changes. Modifications may also be based on changes in legislation. We recommend reviewing the privacy policy regularly.
