Reduced workload for volunteers at Kotkan Taitoluistelu ry

Kotkan Taitoluistelu ry wanted to reduce the manual workload associated with invoicing and payment tracking, which placed a considerable burden on its volunteers. The club adopted Suomisport in 2025, bringing previously scattered functions together in one place. At the same time, its financial administration became easier to manage, freeing up volunteers’ time for other tasks.

Founded in 2013, Kotkan Taitoluistelu ry has nearly 100 skaters each year, ranging from three-year-olds to adults. The club is known for its strong sense of community, high-quality coaching and commitment to providing every skater with an inspiring pathway suited to their individual level.

As the club’s treasurer, Oxana Vuorinen knows its operations from several different perspectives. She began as a board member, served as the club’s chair for six years and later took responsibility for its financial affairs. In her role as treasurer, she saw firsthand just how much time invoicing and payment tracking required.

Manual invoicing placed a burden on volunteers

Before adopting Suomisport, the club used a separate invoicing system, with much of the work carried out manually. At the beginning of each season, every member received an invoice for their membership fee, while monthly fees were invoiced separately each month. All invoicing-related work was handled by volunteers.

– The responsibility for financial administration had come to rest too heavily on one person’s shoulders. We began dividing the tasks between two people, but the process was still laborious and time-consuming, Vuorinen explains.

The club therefore began looking for a solution that would reduce manual work and streamline payment management.

Payments and membership management in one place

When figure skating passes were transferred to Suomisport, the club also became interested in the service’s other features. Vuorinen contacted Suomisport and requested a comprehensive demonstration of the system. The demonstration showed that the membership register, registrations and payments could all be managed through the same service, reducing the amount of manual work required each month.

Suomisport’s compatibility with financial administration systems also influenced the decision. At the same time, Kotkan Taitoluistelu ry modernised its financial administration and adopted Procountor. Together, the two systems provide a clearer and more integrated solution than before.

– Adopting Suomisport was both an operational and strategic decision. It allowed us to reduce the burden on our volunteers, consolidate our financial administration and provide the club with a modern, reliable and easy-to-manage system, Vuorinen says.

Payment tracking became easier, freeing up time

Today, Kotkan Taitoluistelu ry manages its monthly fees, membership fees, camp fees and intensive training day fees through Suomisport. Payments can be set up in the system in advance for the entire season.

Up-to-date payment information is available directly in Suomisport. When a new member joins the club, they can be added to the membership register and assigned the required payment immediately. Automatic payment reminders reduce missed payments and the need for volunteers to track them manually.

Overall, payment management is now smoother, more reliable and significantly less time-consuming.

Skaters’ families are satisfied with Suomisport

With Suomisport, payments can be made on a mobile phone using several different payment methods. Information about memberships, payments, registrations and licences is available through the same service, making it easier for families to manage everything in one place. Families were provided with guidance when the service was introduced, and since then, using Suomisport has gone smoothly.
